Job Summary:
Perform administrative support tasks for all members of the global Signode Industrial Group legal department and have a working knowledge of their duties. Responsibilities include a broad range of tasks involving confidential or technical information, such as compiling reports; creating detailed presentations; scheduling meetings and preparing agendas; responding to correspondence; researching background material; routing calls and other communications or legal documents; making travel and meeting arrangements; preparing and filing expense reports; and managing, updating, and modifying the legal department’s SharePoint sites and shared drives. This position supports staff in Europe, Asia and the US. This position requires software proficiency (and the ability to learn new software), internet research skills, excellent interpersonal skills, a sense of urgency, and the ability to work well with all levels of company management and staff.

Qualifications/Skills:

Associate Degree or College Diploma
At least 5 years Administrative Assistant experience, preferably supporting legal professional(s)
Excellent oral and written communicator
Excellent interpersonal skills
Highly proficient in Microsoft Word, Excel, PowerPoint, SharePoint, and Outlook
Experience generating reports, creating presentations, and managing data in spreadsheets and databases
Experience handling third-party vendor billing
Familiarity supporting personnel and operating in a complex corporate structures
Experience managing travel and event planning, including experience with international travel arrangements (including passports, visas, etc.)
The ability to promptly respond to requests or needs for information or assistance
Strong multi-tasking and prioritization skills
Demonstrated organizational/project management skills and proven problem solving, decision making, and interpersonal skills with experience providing complex, confidential administrative support

Responsibilities:

Manage all administrative tasks and details for legal department team members (as assigned)
Assist with establishing and overseeing administrative policies and procedures for the legal department globally
Review and improve upon operating practices and procedures to increase efficiency or reduce costs
Manage, update, modify, and expand the legal department’s SharePoint sites and shared drives
Support and manage electronic and hardcopy files for legal department
Support third party vendor billing processes and routing of invoices and payments
Manage and maintain schedules, make travel arrangements, and prepare and file expense reports
Schedule and oversee events, visits, meetings, etc.
Create, develop, review, or edit presentations, reports, agendas, memos, letters, and other documents, using word processing, spreadsheet, database, and presentation software

Position Description:
  • Provides support to the Civil and Criminal Health Care Fraud Coordinators, ACE Supervisory Investigator and several Assistant United States Attorneys (AUSAs) in furtherance of complex and high profile affirmative civil enforcement and criminal health care fraud cases. Reviews, analyzes and summarizes case materials and case evidence. Prepares and organizes documentary evidence to be introduced at deposition or trial. Analyzes and summarizes Medicare, Medicaid, Federal Employee Health Benefits Program and private health insurance claims data and financial data. Performs searches on various databases such as Concordance to locate and organize case evidence. Participated in Health Care Fraud Task Force meetings and prepares summaries to facilitate the meetings.
  • Knowledge of the Federal Civil Procedures, False Claims Act, legal statues, judicial precedents and federal court system relevant to affirmative civil enforcement.
  • Knowledge of and skill in the use of Microsoft Office (Word, Excel, Outlook, Access and PowerPoint) is required.
  • Knowledge of and skill in the use of common office hardware, including personal computers, facsimile machines, photocopiers, multifunction printers, scanners, telephones and similar equipment is required.
  • Communication skills are extremely important. Works and interacts professionally and effectively with all levels of staff. Ability to meet established deadlines and work as a team player in a professional office. Skill in meeting and dealing with people in a courteous and tactful manner.
